How do I start a new role from candidates already in my database?

Add the job spec to Workflow in HireUp, and it searches your agency’s own database for people who fit, drafts an email campaign from the spec and lines up the people you already know. You review every step, and nothing is sent until you approve it.

The problem it solves

A new role comes in, and the people who fit are often already in your database from past roles. Finding them and writing to each one takes the first day of the search. In HireUp’s 6-week pilot (Feb to Mar 2026, 12 agency recruiters, about 320 candidate conversations each), recruiters reused their database 3.2x more and shortlisted 2-3x faster.

What do I need before I start?

A Professional or Scale plan, or the two-week trial. You also need candidates in HireUp: captured conversations, an ATS import (see integrations) or a CSV. And install the HireUp Chrome extension, which handles LinkedIn messages and Paraform (see Getting started).

1. How do I add the job spec?

Open Workflow, choose Add job, then upload the spec (PDF, .doc, .docx or .txt) or paste it. Or click Send to HireUp on a Paraform role page. HireUp pulls out the requirements, location and salary. Check and edit them, then click Approve & start workflow.

2. How does Workflow find people in my database who fit?

The Audience step searches your agency’s own database against the requirements, or takes a CSV you import. Review the list and remove anyone who isn’t right. People you already know are left out by default, because step 4 reaches them personally.

3. How do I write the outreach?

In the Campaign step, Build with AI writes a two-email sequence from the spec. Edit each email, then Approve all steps. The campaign goes live in Campaigns.

4. What about candidates I already know?

The Warm network step matches the people you know who fit the role, and drafts a personal note for each. Send by email with Send, or open each LinkedIn message with the extension and send it yourself.

FAQ

Do I need to import a new list to start a role?

No. Workflow searches the candidates already in your agency’s HireUp database. Importing a CSV is optional.

Will candidates I already know get the cold campaign?

No. People you already know are left out of the audience by default. Workflow drafts a personal note for them in the Warm network step instead.

Does anything send before I approve it?

No. You approve every campaign step before the campaign goes live, and warm-network emails send only when you click Send. On LinkedIn, you send each message yourself.

Which plans include Workflow?

Professional and Scale, and the two-week trial. The Free and Essential plans don’t include Workflow.
