Why can’t I search what candidates told me today?
What a candidate tells you rarely ends up in one place. It sits in the WhatsApp chat on a recruiter’s phone, in the LinkedIn inbox, in email threads, in call recordings or nowhere at all. The only part anyone can search is the few notes someone typed into the ATS.
So a CRM or ATS search finds what was written into a profile, not what the candidate actually said. Notetakers don’t close the gap: they cover the scheduled video calls they were invited to, not WhatsApp, LinkedIn messages or phone calls.
Which conversations does HireUp capture?
HireUp is a recruitment communications intelligence platform for agencies. It captures every candidate conversation across LinkedIn, email, WhatsApp and calls, and makes it searchable in plain English.
- Email: connect Gmail or Outlook, and your email with candidates is captured.
- LinkedIn: the HireUp Chrome extension syncs your LinkedIn messages with candidates.
- WhatsApp: an admin connects your WhatsApp Business account, then each recruiter registers their own number. Candidate messages on those numbers are captured.
- Phone calls: connect Aircall or Ringover, and HireUp pulls the transcript of each call with a candidate into that candidate’s record.
- Video calls: transcripts from Google Meet, Zoom and Teams.
There’s nothing to note, tag or file: what was said becomes a record you can search later. See integrations for how each connection works.
How do I search it in plain English?
Open Recall and type the brief the way you would say it to a colleague, for example: “Who did we speak with last month open to fintech roles in London?”
HireUp ranks the candidates who fit and shows the evidence for each match: what the candidate said, and where and when they said it. A match might come from an email from 22 days ago in which the candidate said they were actively looking and open to fintech, even though nobody updated their profile.
Does this work for UK and US agencies?
Yes. HireUp works the same way for agencies in the UK and the US; what changes is where the conversation happens.
- UK agencies: WhatsApp is often where candidates reply first, so connecting WhatsApp Business matters most. UK agencies work under UK GDPR, and HireUp is GDPR compliant by design. See Security & Data Protection for how recruiter and candidate data is handled.
- US agencies: more of the conversation happens on the phone, so connect Aircall or Ringover and each call’s transcript lands on the candidate’s record.
Rules on recording calls differ by country and, in the US, by state, so check what consent you need before you record a call.
How much faster is shortlisting?
In our pilot, recruiters shortlisted 2–3× faster when they searched past conversations instead of profiles.
6-week pilot, February to March 2026. 12 agency recruiters. About 320 candidate conversations per recruiter. See the pilot results on the homepage.
